A custom app makes sense when a repeat process is costing time, creating mistakes or making the business harder to run than it needs to be.

When does a business need a custom app?

Look for repeated admin.

The clearest sign is repeat work: copying details between spreadsheets, rewriting the same emails, generating documents by hand or chasing information across different tools.

If the process happens often and follows a pattern, it may be a good fit for a custom app or internal web tool.

Apps can support customers as well as teams.

A custom app is not only for internal admin. It can also handle client portals, bookings, payments, account areas, file uploads, subscriptions and status updates.

Progressive web apps are useful here because they can be installed to a device while still being available through the browser.

Start with one clear workflow.

The best first version is usually focused. Pick the process that causes the most friction and build something that makes that specific job easier.

Once the tool is being used, it can be improved with better reporting, automation, permissions and integrations.

Do not build what an existing tool already solves well.

Custom software is worth it when the workflow is specific to the business or when off-the-shelf tools create too many workarounds.

If a simple existing product solves the job cleanly, use it. If your team is bending the business around the tool, a custom app may be the better route.
